Type of Appointment: Full-Time, Management Personnel Plan (MPP III)

Anticipated Hiring Amount: $170,100 - $181,008 annually (Commensurate with qualifications and experience)

Work Hours: Monday – Friday 8:00am-5:00pm, unless otherwise notified

THE DEPARTMENT:

The College of Letters, Arts, and Social Sciences at Cal Poly Pomona invites applications for the position of Associate Dean for Personnel and Academic Resources. This is an in-person, full-time management position (MPP III). The College of Letters, Arts, and Social Sciences (CLASS) is dynamic, collaborative, and innovative. Comprised of twelve academic departments, it offers bachelor's degrees in the performing arts, humanities, and social sciences, and master's degrees in economics, English, history, psychology, and public administration. Single subject credentials are offered in English, history/social sciences, music, and Spanish. CLASS hosts interdisciplinary collaborations with all other Cal Poly Pomona college, local school districts, community partners, and industry partners. With the College of Environmental Design, CLASS is the host of the CSU Summer Arts program for 2025-2030. The Dean’s Office provides leadership and oversight for over approximately 350 faculty in the College (150 of whom are tenured/tenure track), up to 40 staff, and instructional, research, and office spaces in 10 different buildings with multiple revenue streams. The Dean’s Office leads implementation of the CLASS 2025-2030 Strategic Plan: Connect, Elevate, Educate. It is also the primary level of evaluation and approval for all personnel and budgetary matters, and for all academic matters having to do with students. It is the main liaison between higher administration in Academic Affairs and the departments in the college. DUTIES AND RESPONSIBILITIES:

Operational Support

  • Serve as HEERA manager for the Dean’s Office operational staff and all department staff including completing annual performance evaluations of permanent staff as well as more frequent evaluations of probationary staff
  • Ensure that the faculty and staff training mandates (e.g., Family Educational Rights and Privacy Act (FERPA), Title IX, and CANRA) are met.
  • Oversee space resources in CLASS, including classroom, research and creative activities spaces, and offices
  • Liaison with College of Environmental Design and CSU Summer Arts to ensure space availability and maintenance
  • Ensure the accuracy of the Faculty Activity by Department (FAD) reports and faculty workload
  • Ensure that resource allocation processes at the college levels are transparent, efficient, and effective
  • Coordinate emergency preparedness and handle security issues within the college; arrange for emergency preparedness meetings and training and oversee emergency supplies
  • Lead conflict resolution and management, including grievance issues with staff and faculty (temporary, probationary and permanent)
  • Assist the Dean and Budget Analysts in managing all CLASS accounts and budgets
  • Serve on university committees as a CLASS representative as needed
  • Attend Academic Senate Meetings
  • Provide reports, analysis, and strategies for improvement, for all of the above

Staff Support

  • Oversee staff hiring, supervision, development, and evaluation
  • Oversee staff on-boarding and orientation
  • Create and implement staff development events and strategies
  • Liaise with ELR/EODA on staff concerns
  • Serve on department staff hiring committees throughout the college

College Leadership

  • Support diversity and inclusive excellence efforts in the College and at the University
  • Assist the Dean with strategic planning and providing leadership for college-wide initiatives aligned with the College’s Mission and Vision
  • Serve, in collaboration with the Dean and other Dean’s Office staff, as a first line of support for department chairs
  • Serve as an active member or chair on committees as assigned
  • Represent the Dean or the college at on- or off-campus meetings or functions and sign appropriate paperwork for the Dean in their absence
  • Effectively represent the College in university-wide and inter-divisional settings
  • Enforce existing policies and practices in the College and improve, create, and implement new policies, initiatives, and/or guidelines as needed and appropriate
  • Assist with the management of all College operations
  • Support the Dean to establish and maintain a professional, positive, collegial, collaborative culture throughout the College
  • It is expected that the Associate Dean will be a member of the College leadership team and, as such, may engage in other activities deemed appropriate by the Dean

Academic Personnel Processes

  • Conduct performance reviews of College temporary faculty, including annual- and cumulative-evaluation and range elevations
  • Manage the hiring and on-boarding of temporary faculty, including new lecturer salaries in accordance with college policy and the CBA.
  • Oversee and provide support to departments and the Dean’s Office for the tenure-track faculty search process
  • Support chairs in all aspects of academic personnel in collaboration with the Dean’s Office
  • Act as liaison between departments, College, and Faculty Affairs
  • Support the Dean and the College RTP committee in the Reappointment, Tenure, and Promotion (RTP) process, post-tenure reviews, market salary increase, FERP to ensure timely compliance with relevant Department, College, University, and CSU processes and policies
  • Evaluate and provide feedback on department evaluation criteria documents for RTP and Lecturer Evaluations, ensuring that they are in accordance College, University, and CSU processes and policies
  • Ensure that Personnel Action Files (PAFs) for tenured/tenure track faculty and temporary faculty are maintained, appropriately accessible for review processes, and confidential.
  • Oversee the processing and implementation of all aspects of faculty leaves and internal and external assigned time (e.g. Sabbatical and difference in pay leaves, Research, Scholarly and Creative Activity grants (RSCA), family leaves, Assigned Time, Teacher/Scholar Program, Faculty Travel, etc.) and academic resources in collaboration with Dean’s Office Staff
  • Work closely with the Associate Dean of Academic Programs to resolve issues between students and faculty
  • Oversee the collection of faculty RSCA activities for College, University, and Advancement reporting purposes
  • Assist with the completion of the CLASS Annual Report
  • Advise and consult with the Dean on all actions in the above areas

Support

  • Support the process of grant writing including workshops or programs to support faculty writing related to grants and scholarly manuscripts
  • Serve as a point of contact with the Office of Research for matters related to faculty and student research activities
  • Collaboratively develop plans to strategically invest college resources to support RSCA in the college, and evaluate and report upon the outcome of those investments
  • Facilitate faculty, student and staff awards, including managing reviews and process
  • Chair the College committees, as needed

 

QUALIFICATIONS:

  • PhD - Earned terminal degree in a discipline that is offered by or could be hired for an academic position by the college
  • PhD - Academic record that supports appointment to a senior tenured position in a department in the college, per the department's criteria document.
  • Two or more years of continuous and successful administrative experience (experience as an associate dean or department chair preferred)
  • Familiarity and experience with procedures and practices as described in the CPP Academic Manual (particularly Policies 1328, 1320, 1330, 1375, and 1377) and
  • Significant experience with academic personnel development and evaluation and experience with managing complex budgets and scheduling and
  • Documented achievements in leading collaborative and/or cooperative efforts across departments or units as an active listener
  • Experience with grants and graduate education and community, donor, or organizational outreach
  • Demonstrated ability to engage in sustained detail-oriented tasks, meet deadlines, manage conflict, including charged situations with ease and poise
  • Demonstrated ability to respond to in-person inquiries
  • Demonstrated experience in providing supportive supervision of staff
  • Experience as a tenured professor at a university
  • Demonstrated commitment to student success and commitment to diversity and equity
  • Demonstrated strong written and verbal communication skills, including both quantitative and qualitative analysis in standard written and spoken English
  • Demonstrated commitment to diversity and inclusive excellence, including respect, courtesy, civility, appreciation, empathy, trust, inclusion, and consultation

PREFERRED QUALIFICATIONS:

  • Three years of experience in academic leadership/administration (such as department chair, associate chair, program coordinator
  • Demonstrated ability to work with faculty or administrators from multiple departments or units across the University campus
  • Experience supervising students and staff in a unionized environment
  • Experience with college-level administration, such as academic record-keeping, course scheduling, faculty appointments, assessment, and student and faculty success efforts
  • Experience working in a unionized environment
  • A research, scholarly, or creative activities record that demonstrates excellence in one or more disciplines in the college
  • Demonstrated ability to maintain discretion and confidentiality

CSU Classification Salary Range

The CSU Classification Standards for this position are located on the CSU Classification Standards website.The CSU Salary Schedule is located on the CSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $6,891 and maximum $22,119 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.
