Position Description

Position Summary

San Diego State University is seeking a highly organized Administrative Support Coordinator to manage front-desk operations, clinic compliance, and student support at the Center for Communication, Counseling, and Education (CCCE). This position plays a key role in supporting the clinic’s administrative functions, technology systems, and equity-centered programming.

Key Responsibilities

  • Administrative & Clinic Operations: Manage daily front-desk activities, client intake, scheduling, recordkeeping, financial processing, and faculty/practicum support.
  • Documentation, Technology & Compliance: Administer Ensora Health, maintain digital platforms, and ensure clinic compliance with state, federal, and CSU regulations.
  • Student Training & Support: Train and supervise student workers, and support practicum instructors and students with systems and client coordination.
  • Outreach, Programming & Equity: Assist with event planning and uphold the clinic’s commitment to diversity, equity, and inclusion in services and outreach.

Position Information

  • This is a part-time (0.50 time-base), benefits eligible, permanent/probationary position.
  • This position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • The individual hired into this role will work at the CCCE (Center for Community Counseling and Engagement) 4283 El Cajon Blvd. Suite 215, San Diego, Ca 92105

Department Summary

The Counseling and School Psychology department houses the Center for Community Counseling and Engagement (CCCE), a clinical training facility for more than 60 graduate student trainees in the Marriage and Family Therapy (MFT) and Counseling and Community-Based Block (CBB/LPCC) programs. The clinic serves the San Diego community year-round, providing accessible mental health services while supporting graduate students’ preparation for licensure. CCCE operates with the view that the individual, family, and larger society are all important in the development and resolution of problems. Our treatment approaches address all three of these vital areas. Additionally, we are committed to promoting and implementing a respectful and multicultural understanding and maintaining a high standard of training, supervision, and community service. Our goal is to create a safe, comfortable, and confidential space to discuss concerns regarding relationships, spirituality, sexuality, depression, stress, work, fear, body image, insecurity, diversity, safety, and so much more. Many CCCE therapists are trained as SDSU Safe Zone allies for the LGBTQ community.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly lean new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Key Qualifications

  • Strong relational skills to effectively oversee and support the student administrative team.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature. 
  • Knowledge of clinical business practices, ethics, and confidentiality standards.
  • Experience with Canvas, Chrome River, Google Workspace, and relational databases.
  • Experience with Apple computers and iOS devices.
  • Experience working in a mental health clinic or training clinic is preferred.
  • Proficiency with Ensora or other electronic health record systems preferred.
  • Spanish language proficiency preferred.

Compensation:
 Salary is based on your experience, education, and qualifications, within the department’s budget and equity guidelines.

  • CSU Classification Salary Range: $2,023.50 - $2,948 per month (Step 1 - Step 20); Step placement will be determined based on relevant qualifications and professional experience. Step placement upon appointment is not expected to exceed Step 2 ($2,064) for highly qualified candidates. Future increases, including step advancement, are subject to contract negotiations.
