Job/Department Summary:

Working independently, under general supervision, the Graduate Studies Office Support Coordinator provides a wide range of administrative, technical, and operational support for Graduate Studies admissions, records, and student services. This position assists with application processing, transcript handling, student record maintenance, and graduation tracking, while also supporting student-facing services such as thesis formatting assistance and front-desk coverage to field inquiries, provide quick solutions, and connect students to other appropriate staff, faculty, or units. In addition, the Graduate Studies Office Support Coordinator provides support for graduate studies events, student outreach and recruitment activities, graduate student organizations, office communications, and the development of digital tools and resources.

The Graduate Studies Office Support Coordinator works collaboratively with Graduate Studies leadership and staff, Graduate Coordinators, faculty, students, and campus partners in Academic Affairs, Enrollment Management, Student Affairs, Information Resources, and Professional and Continuing Education.

Required Education and Experience:

This position requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. These qualifications, and those listed above, would normally be obtained through completion of a high school program, technical/vocational program, or their equivalents combined with three years of related office work experience.

Preferences: Preference may be given to applicants with the following as they may be considered specialized skills: 

  • Experience providing administrative support in graduate education, preferably in admissions, records, or student services
  • Experience with student information systems (e.g., PeopleSoft, WebAdMIT, Salesforce) and digital document management tools (e.g., Softdocs)
  • Strong computer and graphic design skills, including proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Suite or similar programs, and the University style guide
  • Experience organizing and supporting complex student-oriented events, workshops, and activities including college-level student clubs and organizations
  • High attention to detail, accuracy, and confidentiality in managing data, records, and other sensitive materials
  • Ability to organize and prioritize multiple tasks, meet deadlines, and adapt to changing priorities in a fast-paced

Time Base: Full-time

Pay Plan: 12/12

Work Schedule: Mon-Fri 8:00am-5:00pm, Summer: Mon-Thurs 7:00am-5:30pm 

CSU Classification Salary Range:  $48,564 (Step 1) - $70,752 (Step 20) per year.
