Work Hours: Monday – Friday 8:00am-5:00pm

 

THE DEPARTMENT:
The Division of University Advancement is one of five central divisions of the university whose primary purpose is to enhance the private support and knowledge of the university. This is accomplished by initiating programs, events and activities that stimulate the involvement and interest of alumni, friends, parents, corporations and foundations to develop relationships that will foster and stimulate giving to the university. The Office of the Vice President of University Advancement oversees the offices of, development, alumni affairs, advancement services, strategic communications and annual giving. The division manages and operates the Cal Poly Pomona Philanthropic Foundation which serves as the official entity to receive and manage all contributions to the University. Under the telework policy it is understood that your physical presence may be required on individual scheduled remote days based on the needs of the campus, division, department, or request of your HEERA Manager.

DUTIES AND RESPONSIBILITIES:

Prospect Research

  • Researches, verifies, compiles, and presents data on gift and volunteer prospects; records this information in the constituent database.
  • Utilizes a variety of research techniques and resources to produce individual, corporate, and foundation profiles on major gift and board member prospects.  
  • Analyzes, interprets, updates, and formats biographical, professional, and financial information into concise report formats for various fundraising constituencies, including development officers, senior development staff, school/college deans, and the president.
  • Acquires and analyzes financial information, identifies new prospects through proactive research, maintains research resources, evaluates on-line research sources, continues to update research skills, and networks with prospect researchers at local campuses and contacts in the prospect research association.
  • Presents appropriate materials in response to requests for information, including but not limited to, in-depth individual profiles, summary information to support major solicitation and/or stewardship events, and other development-related information as requested by development staff.
  • Maintains the confidentiality of sensitive information and upholds the Donor Bill of Rights and other ethical standards.

Prospect Management

  • Maintains knowledge and understanding of the University’s mission, programs, and fundraising needs and goals.
  • Analyzes activity among key constituent groups in the prospect pool to build the donor pipeline.
  • Assists with the identification and assignment of new potential prospects to University development officers.
  • Assists development officers to monitor and identify opportunities in portfolios for moving prospects through the donor life cycle.
  • Participates in planning and strategizing on prospect contacts, proposals, and engagements.
  • Prepares and analyzes reports to inform actions and strategies for prospect management.
  • Builds cooperative and effective relationships with frontline fundraisers.

Prospect Data Management and Administration

  • Organizes and maintains prospect records and files, including continuous maintenance of accurate databases and central files.
  • Creates, maintains, updates, and cleanses constituent records in the database.
  • Schedules training workshops and administers the clearance system for database access.
  • Provides training development officers and other stakeholders on the use of the donor database for prospect information and management.
  • Provides operations support to the department by greeting guests, receiving deliveries, and processing mail as needed.
  • Other duties as assigned

QUALIFICATIONS:

  • Bachelor's Degree AND/OR the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • DL NUMBER - Driver License, Valid and in State

Working knowledge of general practices, program, and/or administrative specialty; basic knowledge of and ability to apply fundamental concepts; working knowledge of budget policies and procedures; ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty; knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques; ability to organize and plan work and projects including handling multiple priorities; ability to make independent decisions and exercise sound judgment; ability to compile, write, and present reports related to program or administrative specialty; demonstrated ability establish and maintain cooperative working relationships.

PREFERRED QUALIFICATIONS:

  • Two years experience with online and web-based database applications and information sources.
  • Knowledge of research protocols, techniques, and information systems.
  • Ability to organize and prioritize workload.
  • Strong written and communication skills. Research experience at a public or private college or university.

CSU Classification Salary Range

This position is part of the CSUEU bargaining unit 9. The CSU Classification Standards for this position are located on the CSU Classification Standards website.The CSU Salary Schedule is located on the CSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $3,879 and maximum $7,488 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.
