Work Schedule: Monday - Friday 8:00 a.m. - 5:00 p.m.


THE DEPARTMENT:

The College of Engineering dean's office is responsible for the administration of academic and ancillary programs supporting the Departments of Aerospace, Chemical & Materials Science, Civil, Electrical & Computer, Electromechanical Engineering Technology, Industrial & Manufacturing, and Mechanical Engineering, MEP, and the Advising Center. At present, the College of Engineering has approximately 7,000 undergraduate and graduate students, over 170 temporary faculty, approximately 100 tenure-line faculty, and 37 staff members.

DUTIES AND RESPONSIBILITIES:

Fiscal & Budget Operations 

  • Supports the Senior Budget Analyst in monitoring budgets, expenditures, revenues, and account balances across multiple funding sources.
  • Prepares financial reports, reconciliations, journal entries, payroll adjustments, and other fiscal transactions.
  • Reviews financial activity for accuracy and compliance and assists with resolving routine fiscal issues. 
  • Maintains budget tracking tools, financial records, and supporting documentation.
  • Assists with gathering and compiling financial data for budget planning, forecasting, and reporting.

Grants, Foundation, and Philanthropic Fund Support 

  • Provides fiscal and administrative support for grant, foundation, and philanthropic accounts.
  • Monitors expenditures and account activity to ensure compliance with funding requirements and university policies.
  • Supports principal investigators with grant-funded purchases and financial transactions.
  • Assists with grant-related documentation, reporting, account reconciliation, and project administration.
  • Coordinates with campus and foundation partners regarding account activity, expenditures, and required documentation.

Financial Processing and Purchasing

  • Processes and tracks purchasing and payment transactions using university and foundation procurement systems.
  • Reviews purchasing documentation for completeness, accuracy, and compliance with applicable policies.
  • Reconciles procurement card transactions and maintains supporting documentation.
  • Assists faculty and staff with procurement processes, equipment purchases, and financial transaction requirements.

Finance Office Operations

  • Monitors and responds to finance office inquiries and provides customer service to faculty, staff, and departments.
  • Maintains tracking systems for financial transactions and approval workflows.
  • Initiates and tracks electronic approval documents and maintains fiscal records and files.
  • Assists with preparing recurring financial reports and account balance summaries.
  • Provides backup support for fiscal and budget operations.
  • Assists with audits, special projects, year-end activities, and data collection efforts.
  • Participates in professional development and training to maintain current knowledge of university policies, procedures, and systems.
  • Performs other duties as assigned in support of the fiscal operations of the College of Engineering.

QUALIFICATIONS:

  • Equivalent to a bachelor’s degree in a related field. Relevant education and/or experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis. 
  • General knowledge of budgeting principles, concepts, and processes.
  • Skill in following guidelines and providing input and feedback.
  • Demonstrated communication and interpersonal skills.
  • Analytical and problem-solving skills including the ability to analyze and summarize mathematical and statistical information. 
  • Ability to work independently and as part of a team and build relationships with diverse stakeholders.
  • Proficiency in using word processing and spreadsheet software and applications.
  • Ability to learn financial systems.
  • Organizational and time management skills to plan, organize, and prioritize work.
  • Strong attention to detail and accuracy.


PREFERRED QUALIFICATIONS:

  • Proficiency using MS Office (Word, Excel) and other task-specific software (PeopleSoft financial, Tableau, etc.)

Background Check

Education Code 89521 Requirements

Applicants will be required to disclose whether they have received a final administrative decision or final judicial decision determining that they have committed sexual harassment within the last 7 years only after a determination is made that they meet the minimum qualifications for the position, and before an offer of employment is extended. CSU Classification Salary Range

This position is part of the CSUEU bargaining unit 9. The CSU Classification Standards for this position are located on the CSU Classification Standards website. The CSU Salary Schedule is located on the CSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $4,570 and maximum $6,658 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.

University Driving Requirement

Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Driver’s license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12-month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points, if their license is Class C or, 4. Not have more than 5 DMV Points, if their license is Class A, B, or C with endorsements.
