THE DEPARTMENT:

The Center for Community Engagement (CCE), within the Office of Academic Innovation, provides campus-wide leadership and coordination for experiential and community-engaged learning at Cal Poly Pomona. CCE advances academic internships, cooperative education, and other community-engaged learning experiences that integrate students’ academic learning with meaningful opportunities beyond the classroom. The Center works collaboratively across colleges, academic departments, and administrative units and with community organizations and industry partners to develop, implement, and sustain high-quality engaged learning opportunities. CCE is responsible for campus-wide program administration, partner engagement, placement processes, risk management and agreements, university systems, training, assessment, and reporting associated with these experiences.

DUTIES AND RESPONSIBILITIES:

Academic Internship & Cooperative Education Program Administration

  • Provide campus-wide administrative and program leadership for the Center for Community Engagement’s Academic Internship and Cooperative Education programs. Independently establish operational priorities and coordinate complex activities involving students, faculty, academic departments, administrative units, and community and industry partners.
  • Evaluate program policies, procedures, and operational needs from both strategic and operational perspectives. Identify emerging issues and opportunities, determine appropriate approaches, and develop, recommend, and implement new or revised processes in consultation with the CCE Faculty Director.
  • Ensure that academic internship and cooperative education programs comply with university and CSU policies and requirements. Interpret and apply applicable policies, advise campus stakeholders on program and compliance matters, and develop procedures for circumstances not fully addressed by existing guidance.
  • Provide consultation and leadership to faculty and academic departments developing or administering academic internship and cooperative education opportunities. Serve as a campus resource regarding program requirements, policies, processes, systems, and effective practices.
  • Lead the administration of cooperative education processes in collaboration with the Cal Poly Pomona Foundation, including student employment documentation and actions related to new hires, rehires, account changes, status changes, and separations. Ensure the accurate and timely entry and maintenance of required information in KRONOS and related systems.
  • Develop and conduct orientations, workshops, training, and information sessions for students, faculty, staff, and community and industry partners. Assess training needs and develop resources that support consistent implementation of program requirements and procedures.
  • Administer State, Foundation, and grant-funded resources associated with academic internship and cooperative education activities. Monitor expenditures, analyze financial reports, prepare program and fiscal projections, and recommend resource priorities to support program objectives and longer-term growth.

Community and Industry Partnerships & Risk Management

  • Provide leadership for the development, management, and expansion of community and industry partnerships that support high-quality academic internship and cooperative education opportunities across the university.
  • Serve as the primary campus contact for current and prospective community and industry partners. Consult with partners to develop new opportunities, strengthen existing placements, address complex or sensitive issues, and connect partners with appropriate faculty, academic departments, and university stakeholders.
  • Lead partner onboarding and placement-site approval processes. Interpret and apply university risk-management requirements for academic internships and cooperative education, including site visits, placement agreements, liability waivers, student consent forms, and other required documentation.
  • Coordinate the execution, renewal, amendment, tracking, and retention of placement-site agreements and related records. Independently establish processes and priorities for monitoring agreement status, resolving issues, and working proactively with partners and campus stakeholders to maintain compliant and current agreements.
  • Evaluate existing partnerships and placement practices using program data, stakeholder feedback, and institutional priorities. Identify trends and opportunities, develop recommendations, and implement strategies to strengthen partner engagement, improve student and partner experiences, and expand opportunities across colleges and academic departments.
  • Serve as the primary program liaison among the CCE Faculty Director, faculty and academic leadership, Cal Poly Pomona Foundation, Risk Management, university administration, community and industry partners, and other stakeholders. Facilitate collaboration and consensus on program requirements, partnership issues, risk-management practices, and opportunities for program growth.

Outreach, Training & Communications

  • Develop and implement campus-wide outreach and communication strategies to increase awareness, understanding, and participation in academic internship and cooperative education programs among students, faculty, academic departments, and community and industry partners.
  • Assess outreach and training needs, establish priorities, and develop targeted resources and approaches for diverse internal and external audiences. Evaluate the effectiveness of outreach activities and revise strategies based on participation data and stakeholder feedback.
  • Develop and maintain authoritative program information and resources for CCE web pages, including program requirements, policies and procedures, forms, workshops and events, featured opportunities, partner resources, and relevant university and external resources.
  • Develop informational, instructional, and promotional materials and provide content for CCE and Office of Academic Innovation communications, annual reports, newsletters, presentations, and other publications.
  • Plan and conduct orientations, workshops, presentations, and information sessions for students, faculty, staff, and community and industry partners. Interpret complex program requirements and tailor information to the needs of different audiences.
  • Collaborate with CCE and Office of Academic Innovation colleagues on Center programs, events, initiatives, and projects that advance community-engaged and career-connected learning.

Systems, Data, Assessment & Reporting

• Serve as the primary CCE administrator and campus resource for BroncoSERV, Cal Poly Pomona’s implementation of the CSU S4 community-engaged learning platform. Establish administrative processes, maintain program information and records, provide training and consultation to faculty, staff, students, and partners, resolve complex user and process issues, and coordinate with CSU and campus technical support.
• Lead the administrative use of KRONOS and other systems supporting the Cooperative Education program in collaboration with the Cal Poly Pomona Foundation and other campus partners. Evaluate system and workflow needs, develop and implement improvements, and provide system-related training and support to students, faculty, staff, and participating employers.
• Develop and maintain processes that ensure the accuracy, security, and appropriate retention of program, placement, partner, agreement, and risk-management records in accordance with university and CSU requirements.
• Collect, analyze, interpret, and report data related to academic internships and cooperative education, including student participation, available opportunities, partner engagement, academic-unit participation, program growth, and other measures of program effectiveness.
• Develop and administer program assessment processes and performance metrics in collaboration with the CCE Faculty Director and campus partners. Evaluate findings, identify trends and emerging needs, and develop recommendations to improve program effectiveness, policies, procedures, systems, and services.
• Prepare analyses and reports that support strategic and operational planning, resource decisions, continuous improvement, and university and CSU reporting requirements. Present findings and recommendations to CCE, Office of Academic Innovation, and other campus stakeholders.

QUALIFICATIONS:

  • Combination - Bachelor's degree AND/OR the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
  • Four (4) years of related experience
  • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations; demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management; expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies. Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions; ability to work with representatives from public and private entities and handle potentially sensitive situations; demonstrated consultative skills in working with internal and external constituent groups; ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus; ability to train others on new skills and procedures and provide lead work direction.


PREFERRED QUALIFICATIONS:

  • Experience providing administrative or program leadership for academic internships, cooperative education, experiential learning, career-connected learning, community-engaged learning, or related higher education programs. 
  • Experience independently administering complex, campus-wide programs involving multiple academic units, administrative offices, external partners, policies, systems, and deadlines.
  • Experience developing, managing, and expanding relationships with employers, community organizations, industry partners, public agencies, or other external stakeholders.
  • Experience interpreting and applying university policies, CSU requirements, risk-management practices, agreements, or other regulatory and administrative requirements.
  • Experience evaluating program operations and developing or revising policies, procedures, workflows, or administrative practices to improve effectiveness and compliance.
  • Experience administering information systems, databases, or online platforms used to manage program operations, records, workflows, and reporting.
  • Experience collecting, analyzing, interpreting, and presenting program data to support assessment, strategic planning, resource decisions, and continuous improvement.
  • Experience administering budgets, grants, or other program resources and analyzing fiscal information.
  • Demonstrated ability to develop and deliver training, presentations, workshops, and written resources for diverse internal and external audiences.
  • Demonstrated consultative and facilitation skills and the ability to build consensus and resolve complex or sensitive issues involving multiple stakeholders.

    Background Check

    Education Code 89521 Requirements

    Applicants will be required to disclose whether they have received a final administrative decision or final judicial decision determining that they have committed sexual harassment within the last 7 years only after a determination is made that they meet the minimum qualifications for the position, and before an offer of employment is extended.     CSU Classification Salary Range

    This position is part of the CSUEU bargaining unit 9. The CSU Classification Standards for this position are located on the CSU Classification Standards website. The CSU Salary Schedule is located on the CSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $5,797 and maximum $8,445 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.

    University Driving Requirement

    Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Driver’s license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12-month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points, if their license is Class C or, 4. Not have more than 5 DMV Points, if their license is Class A, B, or C with endorsements.
